Simplifying Manual Workflows and Record Keeping

The Challenge

- Years ago, when electronic document transmission and electronic signatures were still the exception and not the rule, office coordinators had the arduous task of scanning paper documentation back into the patient's EMR (Electronic Medical Record).

- This was usually completed document by document, patient by patient, with the user having to first authenticate into the system before finding the correct patient account and then uploading the document.

The Solution

- We created a companion application to ITW that is installed on the office coordinator’s computer that eliminates many of these steps.

- With the new system, the office coordinator can use a shared office scanner to bulk scan the documents to a folder on their computer or the network.

- Our document uploader program automatically finds any new files in the shared drive, allows the user to preview the document before assigning it to a patient and identifying the type of document.

- For improved accuracy and speed, barcode labels can be placed on the documents. The system will then automatically upload and attach the document to the patient indicated by the barcode

The Result

- The new process for uploading documents saved each office coordinator minutes per document, resulting in many hours saved over the course of the year.
